Working with your accountant

Your accountant should do more than keep you compliant

Your accountant already sees every rand that moves through your business. Using that view only to file returns leaves most of its value on the table.

Most business owners I speak to want three things from their accountant. They want to pay the least tax the law allows. They want every return submitted on time. And they want to stay off SARS's radar.

Those are fair expectations. But when I ask about margins, cash flow or which part of the business is actually profitable, the conversation often stops. Many owners see their accountant as a compliance function and nothing more.

That is a missed opportunity. Your accountant already sees every rand that moves through your business. Using that view only to file returns leaves most of its value on the table.

Why compliance alone is not enough

Compliance looks backwards. A tax return tells SARS what happened last year. It does not tell you what to do next year.

Most owners run their business hands on. You know what revenue is coming in, which clients are busy and where the pressure points are. What is much harder to see from inside the business is the full picture: where profit is made, where it leaks, and where your time earns the least.

Tax efficiency matters, but it is only one lever. Saving R20,000 in tax is good. Finding R200,000 of work that loses money every year is better. A good accountant helps you do both.

Five questions a good accountant helps you answer

1

Which clients give you the best margin?

Revenue is not profit. Your biggest client by turnover can be your least profitable once you count the hours, the scope creep and the late payments. Looking at margin per client, product or service line shows you where the business really earns its money.

2

Where does your time go, and is it worth it?

As an owner, your time is the scarcest resource in the business. If a large share of your week goes into work that barely breaks even, that time could be spent on the parts of the business that grow profit. Sometimes the best decision is to stop doing something.

3

Who is worth working with?

Not every client is a good fit. Some pay late, push back on every invoice or take far more time than the fee covers. Once you can see the numbers, it becomes easier to raise prices, change terms, or move towards clients who value your work.

4

Do you know your cash position before tax season?

Provisional tax, VAT and year end payments tend to land close together. Many profitable businesses still feel squeezed in those months because the cash is not where it needs to be. A simple cash flow forecast shows what is coming weeks ahead, so a stressful month becomes a planned one.

5

Who is keeping track of your subscriptions?

Software costs grow quietly. A tool is added for one project, a staff member leaves, a free trial rolls into a paid plan. A regular review of subscriptions often finds licences nobody has used in months, still billing every month. Individually they are small. Together they add up.

What to expect from your accountant

You do not need a full time CFO to get this kind of insight. You need an accountant who looks past the return and asks better questions. At a minimum, expect them to:

  • Explain your management accounts in plain language, not just send them
  • Show you profit by client, product or service where it matters
  • Flag cash pressure before tax and VAT deadlines, not after
  • Point out costs that have crept up, including unused subscriptions
  • Meet with you regularly to talk about decisions, not only deadlines

If your accountant only contacts you when something is due, it is worth asking what else they could be doing for you.

Compliance keeps you safe. Insight helps you grow.

Compliance is the foundation. Every business needs it done properly and on time. But it is the starting point, not the full value of a good accountant.

At Accuvio Accounting, we take care of your tax and compliance, and we help you understand the numbers behind your business. Where you make money, where you lose it, and what to do about it.
